Terms & Conditions

1. Acceptance of Terms

By registering for, accessing, or using ClinicQueue (“the Service”, “Platform”, or “we”), you agree to be bound by these Terms & Conditions (“Terms”). If you do not agree to all of these Terms, do not access or use the Service.

These Terms apply to all users of the platform, including clinic owners, administrators, doctors, staff members, and patients who interact with the service.

2. Description of Service

ClinicQueue is a Software-as-a-Service (SaaS) platform that provides digital queue management for clinics and healthcare providers in India. The Service includes:

  • Digital token generation and live queue management for OPDs
  • A patient-facing mobile application for viewing clinic queues and generating visit tokens
  • Staff and doctor dashboards for queue control (call next, pause, resume, close)
  • Push notifications to patients about queue status
  • An analytics and management panel for clinic administrators
  • Role-based access control (Clinic Admin, Doctor, Staff)
  • Invite system for adding team members

3. User Accounts & Registration

To use the Service, you must register and create an account. You agree to:

  • Provide accurate, complete, and current information during registration
  • Verify your email address as required during sign-up
  • Maintain the security of your password and account credentials
  • Notify us immediately of any unauthorized access to your account
  • Be responsible for all activity that occurs under your account

You must be at least 18 years old to create an account. By registering, you represent that you are of legal age.

4. Subscription & Billing

The platform is offered under a single Pro Plan at ₹300/month per clinic. The plan includes:

  • 1 clinic, 1 doctor queue, and 2 staff seats
  • Patient mobile app access, live queue system, push notifications, and analytics
  • A 14-day free trial with no credit card required upon registration

Additional staff seats can be added at ₹100/month per seat. Billing begins after your trial period ends or when you explicitly activate your subscription.

Subscriptions are billed monthly. You may cancel at any time and will retain access until the end of your current billing period. No refunds are issued for partial months.

5. Roles & Permissions

The platform uses a role-based access system. The roles are:

  • Clinic Admin: Full access to clinic settings, member management, billing, and analytics
  • Doctor: Access to their assigned queue — can call next token, pause, resume, or close the queue
  • Staff: Can issue tokens, manage walk-in patients, and view queue status

The Clinic Admin is responsible for all activity performed by invited team members within their clinic workspace.

6. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable Indian or international law or regulation
  • Store or transmit patient data beyond what is necessary for queue management purposes
  • Attempt to gain unauthorized access to other accounts, systems, or clinic data
  • Use the platform for fraudulent, abusive, or harmful purposes
  • Reverse-engineer, decompile, or attempt to extract the source code of the platform
  • Resell or sublicense access to the Service without our written consent

7. Patient Data & Healthcare Disclaimer

ClinicQueue is a queue management tool, not an Electronic Medical Record (EMR) or clinical management system. The platform handles visit tokens, queue positions, and basic visit metadata.

Clinic administrators are responsible for ensuring that the platform is used in compliance with all applicable healthcare data regulations in India, including but not limited to the Digital Personal Data Protection Act, 2023 (DPDPA).

We do not provide medical advice. No information transmitted through the platform constitutes a clinical decision or medical recommendation.

8. Intellectual Property

All content, design, code, branding, and functionality of the ClinicQueue platform is the exclusive property of ClinicQueue and is protected by applicable intellectual property laws.

You retain ownership of your clinic data. By using the platform, you grant us a limited, non-exclusive license to process and display your data solely for the purpose of providing the Service.

9. Service Availability & Limitations

We strive to maintain high availability of the Service but do not guarantee uninterrupted access. Planned maintenance, outages, or force majeure events may temporarily affect availability.

We reserve the right to modify, suspend, or discontinue any part of the Service with reasonable notice.

10. Termination

We may suspend or terminate your access to the Service at our discretion if you violate these Terms, engage in fraudulent activity, or fail to pay applicable subscription fees.

You may terminate your account at any time by visiting our Support page. Upon termination, your clinic data will be retained for 30 days before permanent deletion, unless you request earlier deletion.

11. Limitation of Liability

To the maximum extent permitted by law, ClinicQueue shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service.

Our total liability to you for any claim shall not exceed the total amount paid by you to us in the three (3) months preceding the claim.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts located in India.

13. Changes to These Terms

We reserve the right to update these Terms at any time. We will notify users of significant changes via email or an in-app notification. Continued use of the Service after such changes constitutes acceptance of the revised Terms.
